Mercer County Prothonotary Office

The Mercer County Prothonotary is Tanya Williams, elected in 2023. The office is the keeper of civil records for the Court of Common Pleas. It is located at 125 S. Diamond St., Suite 105, Mercer, PA 16137. The phone number is 724-662-3800 ext. 2263.

Civil records are distinct from criminal files and estate files. Criminal Common Pleas filings, marriage licenses, probate records, guardianships, and Orphans' Court records are handled by the Mercer County Clerk of Courts and combined Register of Wills office.

Search Mercer County Civil Records

Mercer County says all Prothonotary records are available for public view unless sealed by the court. Office computers cover 1994 to present. Those records are scanned and immediately viewable through public terminal search in the Prothonotary office. Many older record indexes have also been scanned and are available for viewing.

Infocon subscription access is available for docket entries. The Prothonotary states that images are not online for viewing. That means a remote user may see docket-entry information through subscription access, while copies or document review still route through the office terminals, counter, mail, or phone request path.

Request Mercer County Certified Copies

Certified civil copies are requested from the Prothonotary when the document is a Mercer County civil Common Pleas record, such as a divorce decree, civil judgment, lien, order, or other filed civil document. Certification is the clerk's official statement that the copy is true or correct.

2. Use the Prothonotary terminal or office contact to locate the civil file.
3. Specify the document needed, such as a decree, order, complaint, or docket page.

Mercer County Filing Channels

Mercer County Prothonotary filing channels are conservative. The office accepts filings in person or by mail only. The research file states that there is no electronic filing and no email filing for Prothonotary matters.

Protection from abuse filings have a separate timing rule. PFA filings are accepted by the Prothonotary Monday through Thursday from 8:30 a.m. to 1:00 p.m. After 1:00 p.m. Monday through Thursday and on Fridays, emergency PFA matters go to the local or on-call Magisterial District Judge. A person checking a protection-from-abuse matter should identify whether the filing was handled by the Prothonotary during the regular Monday-through-Thursday window or by a Magisterial District Judge as an emergency matter. That routing can explain why an initial filing, temporary order, hearing date, or later Common Pleas entry may not appear in the place a user first checked.

For civil appeals, the office can also be the practical bridge between a lower-court judgment and the Court of Common Pleas file.
